This window is displayed by clicking on the Materials option in the Catalogue menu

 

It is used to define all the items used in the rest of the system – BOMs, manifests etc.

 

Each item has a unique model number assigned by the system, based on the number range assigned to each site.

 

1.      To add a new item, click on the + button on the navigator. The ▲ button is used to edit an existing item.

2.      The edit frame will be displayed with many of the fields defaulting to the values in the record selected when the + is clicked. It may help if you select a current item that is similar to the one you want to add.

3.      The model number, for a new record, will be displayed as 0. When you save the new record this will be replaced by the next available number in the set applicable to your site.


4.      Select the condition from the drop down or leave blank if not relevant. This is used to signify used, refurbished, etc items.

5.      A common model number may be selected. Because the type of the items relates to ownership, physically identical items, eg joints of casing, may appear several times in the stock list with different model numbers. These can be linked together with a common model number. This allows you to find all physically identical items, even though ownership may vary by searching on the common model number. You can look up the common model number by clicking on the button.

6.      The nomenclature is a short description of the type of item. Ideally these will be consistent for items of the same type. Eg CASING, CENTRALIZER, DIAMOND CONTAINER

7.      Where applicable a size can be entered. Eg Diameter for casing and bits, weight, length and width.

8.      The short description is a one-line description and the long description is a multiple line one. In many tables only the short description is displayed so it should be meaningful on its own. The long description is used to give more details, eg thread type, weight etc for casing.

9.      Units are the units for supplying the item and are not related to the size. Eg casing units would be joint or each and not inches or feet.

10.  Type is used to signify the ownership of the item, often related to a permit or joint venture. Other types may be RENTAL and CONSIGNMENT. These are selected from the drop down list so a new type must be entered into the type table before it is available for an item.

11.  Class is related to the usage of the item. eg The class CASING 20’-30” might container joints, pup joints, cross overs, shoes etc. Again the class must be selected from a drop down, with the new classes defined in the Class option. The class will also determine whether sort fields are required.

12.  Ownership type can be R for Rental or C for Consignment. P or a blank value indicates the item has been purchased.

13.  The part number is an optional field that can be used if required. Normally a part number applied to all items of that sort. A serial number can also be defined. Normally each individual item of the same sort has a unique serial number and hence must be entered as a separate item in the stock list. Eg BITS.

14.  The supplier code can also be entered. This is again a drop down with supplier codes needing to be defined in the supplier code table before they can be used.

15.  Sort fields are a variable number of fields with 4 character values. These are only used in some classes where items have a number of characteristics that give a more logical sorting order that just type and class. For example casing and drill pipe are usually first sorted on size, then on other characteristics such as nomen, thread type, etc. Where a fixed set of values has been defined for a sortfield, the [?] button displays a list of these values so you can select one.

16.  An info file can be defined. These are stored in the images directory and can be PDFs or various picture files, including JPG, BMP and WMF formats.

17.  A number of reports can be created, all essentially listing a subset of the Stock list.

18.  The [Re-export] button allows you to re-export either all the items in the class to which the current record belong, just the current item or a range of model numbers.

a.       Clicking with the LEFT mouse button displays the following dialog.
Select Yes for everything in the class or no for just the current model number.








b.      Click with the RIGHT mouse button displays a dialog that allows a range fo model numbers to be exported.

 

 

 

 

 

 

 

 

 


19.  The [Go to] button brings up the model number search dialog. If a value is entered in the search field the program will do an incremental search using the current index.

20.  The [Check unused] initiates a scan of all stock items to find which model numbers have been used or not used. Those that are not used are indicated by a YES in the Del column

21.  The [Remove unused] button will actually delete the items marked with a YES in the Del column. You can, of course, manually change these values before running the option. The records are not physically deleted from the data table but are hidden and ignored. A Pack is required to physically remove deleted items from a table.

22.  The [Undelete] button will redisplay any deleted records. Once a Pack has been performed, records are permanently deleted and cannot be undeleted.

23.  The [Replace] button will replace any model number with the number entered into the Replace column.

24.  The [Show Used] Button will show which BOM, Manifests etc, use the model number. This is useful to know before doing a replace.

25.  The Show all, Show keep and Show delete radio buttons are used to select the items based on the Del value. Eg to see which records would be deleted, select the Show delete option.

26.  The [Restore deleted] option allows you to reverse an accidental deletion.

27.  The Show images and Show PDF check boxes are used to control whether the info files are displayed, if they have been defined, for the current record.

28.  Once the fields have been filled in click on the [Tick] button to save the record. It is at this stage the model number will be filled in. Saving will also occur if the + is clicked again or if another record is selected by clicking on the grid, via the navigator or using the cursor keys.

 

An existing record can be edited, but the model number itself cannot be changed.
