Rental validation and recalculation

This window is displayed by clicking on the Validate and Recalc option in the Rentals menu

This form is modal. You must close it before you can access other forms or the menu

The rental headers, rental logs and rental inventory are not entered directly by the user but are created as Road manifests, manifests etc are created for rental items.

If there is an error in these tables they need to be reconciled with the records that created them and so this option provides a series of integrity checks.

Each screen has a check button which runs the tests, and a fix button which will correct any errors. The back and next are used to move between tests.

The first test compares the rental items in Delivery (Supplier to Base) Road Manifests to ensure there is a corresponding item in the rental header.

When the rental header is missing a line is added to the check box list, with the box checked.

Clicking on Fix will add the necessary records to the Rental Headers, unchecking the boxes as each is fixed.

If you were to rerun the check, the list should be empty.

The second test is a reverse. It checks that each rental header has a matching item in the Delivery Road manifests with the rental flag set to Y.

If the box is empty – there are no errors to fix.

If a mismatch is found 2 fixes could be applied.

• If the rental header is in error it can be deleted. However you can not do this if the rental header has log or inventory records attached to it.
• The alternative is to add an item to the Road Manifest, or if it exists, turn on its rental flag.

You choose which of these fixes to apply by selecting using the radio buttons.

The flip check boxes enables you to apply one fix to certain records and another fix to others, probably with a re-check in between.

The third tests compares Road manifest records that have the rental flag set, with road manifest records in the rental log.

The fourth test performs a similar check for rental items on Manifests

The fifth test does the same for consumption items.

The final step is to recalculate the inventory from the amended log records.
