This window is displayed by clicking on the Extract data to export option in the Transfers menu

 

It is used to create a set of files containing changes made to your database so that other sites can incorporate these into their database.

 

This form is modal. You must close it before you can access other forms or the menu

 

1.      If you are a remote site then the master site will be enabled and ticked since that is normally where you export to.

2.      It is possible to export to other remote sites as well by ticking the associated boxes. Normally you would only do this in cases where, for example you have created a manifest or similar that they need right away and the master site people are not available to import your changes and export to the other site. You will still need to export those same changes to the master site later.
If you were at the master site then you would normally import updates from all sites, then run this option to export to all sites at once.
The All or None buttons can be used to Check or uncheck all the sites.
Only Active sites are enabled. In the example, Rig B has been defined but is inactive.

3.      [Export] starts the extraction process and creates the export databases for each selected site.
The various fields and the progress bar will inform you of what is happening during the process, and how long before it finishes, since it can take several minutes.

4.      [Zip exports] will create a zip file in the system directory containing these extracted files.
The name of the file will be <your site>_<export site>.zip, eg Perth_Dampier.zip

5.      [Email zip] will create and email with the export zip file already attached. (Example uses Thunderbird, but Outlook will work in a similar way)

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 


There are some maintenance options for the tables that may be run before starting the export. These need not be done every time but do no harm if run, other than take a bit of time.

 

6.      [Validate] Records in the export list are either type C for a Change (includes an Add) or D for Delete. If a Delete record corresponds to a record that still exists or a Change record has no corresponding record then the export will not run properly. This option runs a check for valid entries and will produce a report similar to the following.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 


A dialog appears before the check is run asking whether to just print a report or whether to automatically correct the errors. If No is selected, C will be changed to D and vice versa for records with errors.

 

7.      [Rem Dup] In some cases the same record is listed multiple times in the export list. If this is not corrected, then each time an export cycle is completed only one of the entries will be removed, resulting in a lot of unnecessary traffic. This option will check for duplicate records and remove them.

8.      [Clean up] Records in the export list persist until the program is informed that they have been successfully imported at the other sites. If exports are include for a site that is no longer active or for your own site this will never happen. This option will remove any exports for your own site or inactive sites.
